Bank Reconciliation

In this section, we're going to talk about bank reconciliation, which is the process of matching your internal financial records with your bank statements to ensure accuracy and identify any discrepancies.

You can easily perform reconciliation operations from the Accounting Dashboard itself.

The interface features a table with three specific entries from March 2026. All transactions currently have a status of Unreconciled, and some have Reconciled meaning they have been recorded in the system but haven't been officially verified against a bank statement yet.

Based on the updated image, here is a detailed description of each column in the Bank Reconciliation list, which tracks the transition of financial statements from a pending state to a verified state.

  1. Date: This is the Accounting Date of the transaction. The list is arranged chronologically, starting from January (17/01/2026) and moving through February 2026.
  2. Name: The unique identifier or reference number for the entry.
    • CUST.IN usually refers to Customer Invoices/Payments.
    • CUST.OUT or SUPP.OUT refers to outgoing payments or supplier refunds.
    • Direct labels like "Owner Deposit" or "Bank" indicate manual entries or direct bank transfers.
  1. Partner: The name of the external entity involved, such as a customer (Sin Piseth, Veng Dina) or a supplier (LY CHANIMOUY). If the field is blank, it often represents a direct bank adjustment or internal movement.
  1. Receive: Displays the amount of money entering the account. For example, a significant bank entry of $100,000.00 is shown on 25/02/2026.
  2. Sent: Displays the amount of money leaving the account. These appear as positive values in this column but reduce the overall balance (e.g., the $3,960.00 sent to LY CHANIMOUY).
  3. Amount: The net impact of the transaction on the account. Incoming funds are shown as positive numbers, while outgoing funds (Sent) are shown as negative numbers (e.g., $-3,960.00).
  4. Running Balance: A cumulative total that updates with every line item. It tracks the accountโ€™s value in real-time, starting at $200.00 and ending at $280,150.00.
  5. Status: Indicates the current stage of the reconciliation process:
    • Reconciled (Matched): Shown in green text, these statements have already been verified against the bank records.
    • Unreconciled (To Check): Shown in grey text, these items still need to be checked and matched by the user.
  1. Action Icons: A set of tools to manage the line item:
    • Checkmark: To validate and "Match" the statement.
    • Chain/Link: To link or unlink the entry from a specific bank move.
    • Document: To view the attached source file or digital invoice.
    • Arrow: To open the full details of the transaction.

In the top right corner of the transaction detail page, you'll find the arrow button. Click on it to see the payament details.

Once you click on it, you will get to see the Journal Items and Invoice that reference to the reconciliation transaction.

Reconcile transactions

Transactions can be matched automatically with the use of reconciliation models, or they can be matched with existing entries, batch payments, manual operations, and reconciliation model buttons.

Bank reconciliation should be performed regularly (typically monthly) to maintain accurate financial records and identify errors, missing transactions, or fraudulent activity promptly.


Step 1 โ€” Click on the Reconciliation

On the bank account card you want to reconcile, click the Reconciliation link to open the bank reconciliation page.

Step 2 โ€” Select Transactions to Reconcile

You have two options for reconciling transactions:


One by One

To reconcile transactions one by one:

  1. Click the checkmark icon (-) on the right side of each transaction row that matches your bank statement
  2. The transaction status will immediately change from Unreconciled to Reconciled
  3. Repeat for each transaction you want to reconcile

Use this method when you want to reconcile transactions as you verify them, or when you only need to reconcile a few specific items.

Multiple at Once

To reconcile several transactions simultaneously:

  1. First, filter the list to show only Unreconciled transactions by clicking the Filters button and selecting "Unreconciled" from the Status dropdown

2. Select transactions by clicking the checkbox in the header row to select all visible transactions, or individually check the boxes for specific transactions that match your bank statement

3. Click the Reconcile button at the top of the page to mark all selected transactions as reconciled at once

Use this method when performing month-end reconciliation and you have verified multiple transactions against your bank statement. This saves time when reconciling many transactions simultaneously.

What is Bank Reconciliation?

Bank reconciliation is the process of comparing your company's internal financial records against the transactions recorded on your bank statement. This process ensures that:

  • All transactions are accurately recorded in your accounting system
  • Bank statement balances match your accounting records
  • Discrepancies are identified and resolved promptly
  • Errors, omissions, or fraudulent activities are detected

Unreconciled Transactions

If you need to reverse a reconciliation (for example, if you marked a transaction by mistake):

Step 1 โ€” Select the reconciled transaction(s) you want to unreconciled

Step 2 โ€” Click the Unreconciled button

This will change the status back to Unreconciled and allow you to make corrections.

Only unreconciled transactions if you made an error. Frequent unreconciling can disrupt your financial records and audit trail.
