Reporting

Profit and Loss

The Profit and Loss (P&L) report, also known as an Income Statement, provides a summary of your company's revenues, costs, and expenses over a specific period. In MAQSU, this report is essential for assessing your business's profitability and financial performance.

📌 Important

The P&L report is generated in real-time based on transactions recorded in your accounting journals. Accurate data entry in invoices, bills, and journal entries is vital for a reliable report.


Access the Report

From the left sidebar, click Accounting. Then, from the top navigation menu, go to Reporting ‣ Profit and Loss.

Report Overview

Once the report opens, you will see a structured view of your financial standing. The report is categorized into the following key sections:

  1. Income – Displays all revenue accounts (e.g., 401100 Sales of Goods).
  2. Cost of Goods Sold – Shows direct costs associated with your sales.
  3. Gross Income – The difference between your Total Income and Cost of Goods Sold.
  4. Operating Expense – Lists overhead costs such as utilities and depreciation.
  5. Net Income – Your bottom line profit or loss after all expenses and taxes.

Filtering PL by Date Range

You can customize the time frame of the report to analyze specific periods:

  1. Click the Date button to open the range selector.
  2. Select a predefined range like This Fiscal Year, This Month, or Last Quarter (marked as 1).
  3. Alternatively, manually set a custom Start Date and End Date.
  4. Click Apply (marked as 2) to refresh the data.

Comparing PL by Periods

To track growth or identify trends, you can compare current performance against previous periods:

  1. Click the Comparison button (marked as 1).
  2. Choose to compare by Periods (e.g., comparing months side-by-side).
  3. Select the Compare Period type and the date range.
  4. Click Apply (marked as 2). The report will display columns for each period for easy comparison.

Advanced Filtering (Documents)

Use the Documents menu to drill down into specific segments of your business:

  1. Click Documents (marked as 1) to open the filter drawer.
  2. Journals – Filter the P&L to show only specific journals (e.g., only "Customer Invoices").
  3. Partners – Filter the report to see the profitability related to a specific customer or vendor.
  4. Click Apply (marked as 2) to update the view.

Exporting and Printing

Once you have configured your view, you can use the Print button at the top-left to generate a PDF report or use the system's export features to download the data into an Excel spreadsheet for further analysis.

📌 Pro Tip

You can click on any individual amount in the report to "drill down" and see the specific journal entries that make up that total.

Balance Sheet

The Balance Sheet is a core financial statement that provides a snapshot of your company's financial position at a specific point in time. It summarizes what the business owns (Assets), what it owes (Liabilities), and the owners' stake in the business (Equities).

📌 Note

The Balance Sheet follows the fundamental accounting equation: Assets = Liabilities + Equities. In MAQSU ERP, these values are updated in real-time as you post journal entries.


Access the Balance Sheet

From the left sidebar, click Accounting. Then, from the top navigation menu, go to Reporting ‣ Financial ‣ Balance Sheet.

Report Overview

The report is organized into three primary sections to give you a clear view of your financial health:

  1. Assets – Includes Current Assets (e.g., Bank, Cash, Accounts Receivable, Inventory) and Fixed Assets (e.g., Computer Equipment).
  2. Liabilities – Lists Current Liabilities (e.g., Accounts Payable, Unearned Revenues) and Non-Current Liabilities.
  3. Equities – Summarizes your Capital, Retained Earnings, and Current Year Earnings.

Filtering BS by Date Range

Because the Balance Sheet is a "point-in-time" report, you can adjust the end date to see your standing at any historical moment:

  1. Click the Date button to open the range selector.
  2. Select a predefined range such as This Month, This Quarter, or This Fiscal Year (marked as 1).
  3. The End Date will automatically adjust based on your selection, but it can also be set manually.
  4. Click Apply (marked as 2) to update the report.

Comparing Periods

To analyze how your assets and liabilities have changed over time, use the comparison tool:

  1. Click the Comparison button.
  2. Set Compare By to Previous Periods.
  3. Select the Compare Period (e.g., Month) and the number of periods to display.
  4. Click Apply. The report will display side-by-side columns (e.g., January 2026 vs. February 2026).

Advanced Document Filtering

You can refine the data shown on the Balance Sheet using specific document filters:

  1. Click the Documents button.
  2. Journals – Select specific journals (e.g., Customer Invoices, Vendor Bills) to see their specific impact on the balance.
  3. Additional Filters – Filter by Sales Teams, Salespersons, or specific Partners (customers/vendors).
  4. Click Apply to refresh the view.

Exporting or Printing

To share or further analyze your financial position:

  • Print: Click the Print dropdown to generate a professional PDF version of the Balance Sheet.
  • Drill Down: Click on any blue underlined amount to view the specific ledger entries and transactions that make up that balance.
📌 Important

Always ensure your Total Assets equals the sum of Liabilities + Equities at the bottom of the report to verify that your books are in balance.

Statement of Cash Flows

The Statement of Cash Flows provides a detailed overview of how your company generates and spends cash during a specific period. Unlike the Profit and Loss statement, which includes non-cash items, this report focuses strictly on the movement of Cash and Cash Equivalents.

📌 Note

MAQSU ERP uses the Indirect Method for this report, starting with your Operating Profit and adjusting for non-cash transactions and changes in working capital to arrive at your net cash position.


Access the Report

From the left sidebar, click Accounting. Then, from the top navigation menu, go to Reporting ‣ Financial ‣ Statement of Cash Flows.

Report Overview

The report is divided into three main activities to show where your money is coming from and where it is going:

  1. Cash Flows from Operating Activities – Shows cash generated from core business operations, including adjustments for depreciation (non-cash) and changes in Inventory, Accounts Receivable, and Accounts Payable.
  2. Cash Flows from Investing Activities – Tracks cash used for or provided by the purchase and sale of long-term assets (e.g., equipment or property).
  3. Cash Flows from Financing Activities – Records cash flow related to debt, loans, and equity (e.g., capital injections or dividend payments).

The bottom of the report reconciles the Net Increase/Decrease in Cash with your Beginning and Ending Cash Balances.

Filtering by Date Range

You can analyze cash movements over specific timeframes to identify seasonal trends or liquidity patterns:

  1. Click the Date button to open the range selector.
  2. Select a predefined range such as Last Month, This Quarter, or This Fiscal Year (marked as 1).
  3. The Start and End Dates will update automatically, or you can define a custom range manually.
  4. Click Apply (marked as 2) to refresh the data.

Comparing Cashflow by Periods

To see how your cash position has evolved compared to previous months or years:

  1. Click the Options button (or the gear icon depending on your view).
  2. Period – Enter the number of previous periods you wish to display side-by-side.
  3. Currency – Toggle between available currencies if you manage multi-currency accounts.
  4. The report will update to show a comparative view (e.g., comparing the current month against the Last 4 Months).

Exporting

Use the Print dropdown to download the report as a PDF or Excel file for external stakeholders.

📌 Important

The Cash and Cash Equivalents at End of Period should always match the total balance of your Bank and Cash accounts on your Balance Sheet for the same date.

Age Receivable

The Aged Receivable report is a critical tool for managing your company's cash flow and credit policy. It provides a breakdown of all outstanding invoices owed by your customers, categorized by how long they have remained unpaid. This helps you identify overdue accounts and prioritize collection efforts.

📌 Note

This report reflects only "Open" or "Unpaid" invoices. Once an invoice is fully reconciled with a payment, it is automatically removed from this view.

Report Overview

The report is organized in a "Bucket" system, showing the aging of your receivables from left to right:

  1. Not Due – Invoices that have been issued but have not yet reached their payment deadline.
  2. Aging Buckets (1 - 180+) – Invoices categorized by the number of days they are past due (e.g., 1-30 days, 31-60 days).
  3. Total – The cumulative outstanding balance for each specific customer.

Filtering by Date

By default, the report shows your receivables as of today. You can view your historical aging status by adjusting the date:

  1. Click the Date button (marked as Red Arrow).
  2. Use the calendar picker to select a specific At Date.
  3. Click Apply to refresh the report to show what was owed at that point in time.

Filtering by Customer

To focus on specific segments of your receivables, use the customer and account filters:

  1. Customers Menu: Filter the report by specific Salespersons, Customer Categories, or search for an individual Customer (marked as \*\*Red

Filtering by Account

To focus on specific segments of your receivables, use the ccount filters:

  1. Accounts Menu: If you use multiple receivable accounts, use this menu to select specific Journals or Accounts (e.g., "103100 Accounts Receivable").

You can customize the intervals of the aging columns to match your business's credit terms:

  1. Click the Options button.
  2. Manually enter the number of days for each Bucket (e.g., changing Bucket 1 from 30 to 15 days).
  3. Click Apply (marked as Red Arrow) to restructure the report columns.

Exporting

Click the Print dropdown to generate a PDF for your collections team or export to Excel for further data manipulation.

📌 Pro Tip

Regularly reviewing the 180+ bucket is essential for identifying potential "Bad Debts" that may need to be written off or sent to legal collections.

Age Payable

The Aged Payable report is an essential tool for managing your company's liabilities and outgoing cash flow. It provides a detailed breakdown of all outstanding balances owed to your vendors, categorized by how long those bills have remained unpaid. This helps you track upcoming payment deadlines and maintain healthy relationships with your suppliers.

📌 Note

This report specifically tracks "Open" or "Unpaid" vendor bills. Once a bill is fully paid and reconciled, it is automatically removed from this report.

Monitor the 61-90 and 91-120 buckets closely to avoid late fees and ensure your credit standing remains strong with key suppliers.
