Reporting
The Reporting section in the MAQSU Purchase module provides powerful analytical tools to help you monitor and evaluate your purchasing activities. Use these reports to gain insights into spending trends, supplier performance, and order fulfillment efficiency.

Purchase Analysis
The Purchase Analysis report gives you a visual and data-driven overview of all your purchase activities. It helps you monitor spending trends, track order volumes, and evaluate supplier performance over time.
Graph
The Graph view helps you visualize purchase data quickly. Use it to compare spending, identify trends over time, and understand how each group contributes to total purchases.
1. Line Chart
Line Chart displays purchase values across the selected grouping (such as Product, Vendor, or Date) and helps you quickly see upward or downward trends, peaks, and drops in spending.

2. Bar Chart
Bar Chart shows purchase values by category in side-by-side bars, making it easy to compare totals and quickly identify the highest and lowest purchase groups.

3. Pie Chart
Pie Chart displays each purchase group as a share of the total, helping you understand contribution percentages and quickly see which categories take the largest portion of spending.

Views
Use Views to change how purchase data is displayed. Switch to the layout that best fits your task, whether you need detailed records, grouped totals, or visual trend analysis.
1. Pivot
Pivot view organizes purchase data into grouped rows and summary columns, making it easy to compare totals, counts, and billed quantities across products, vendors, or time periods.

You can switch between the Pivot Table and Chart views at any time using the view toggle icons on the right side of the toolbar. Each view retains your current filters and groupings.
Measures
Click the Measures button at the top-left to select which data columns or metrics you want to display in the report. You can enable or disable any combination of the following measures:

# of Lines – The total number of purchase order lines included in the analysis.

Average Cost – The average unit cost across all purchase lines.
-
Days to Confirm – The average number of days taken to confirm a purchase order from its creation date.
-
Days to Receive – The average number of days taken to receive goods after the purchase order was confirmed.
-
Gross Weight – The total gross weight of all purchased products.
-
Qty Billed – The total quantity of items that have been billed.
-
Qty Ordered – The total quantity of items ordered across all purchase orders.
-
Qty Received – The total quantity of items physically received from suppliers.
-
Qty to be Billed – The quantity of received items that have not yet been billed.
-
Total – The grand total value of all purchase orders including taxes.
-
Untaxed Total – The total value of all purchase orders excluding taxes.
-
Volume – The total volume of purchased products.
-
Count – The total number of purchase order records included in the report.
Tick or untick any measure to add or remove it from the current view. Active measures are shown with a checkmark.

Filters
Use Filters to narrow report data to specific document types or conditions. For example, you can show only Requests for Quotation, only Purchase Orders, or apply Add Custom Filter for more detailed analysis.

Group By
Use Group By to organize purchase data into categories such as Vendor, Vendor Country, Purchase Representative, Product, or by Order/Confirmation Date. This helps you compare totals by each dimension and makes patterns easier to read.

Time Ranges
Use Time Ranges to filter the report by a specific period such as this week, month, quarter, or year. Select the date basis (for example, Order Date), choose the range, and click Apply. You can also enable Compare To to analyze performance across two periods.

Combining Group By with Measures gives you the most powerful analysis. For example, grouping by Vendor and measuring Total and Qty Ordered lets you instantly compare spending across all your suppliers.
Purchase Register
The Purchase Register report provides a detailed line-by-line record of all purchase transactions. Unlike the Purchase Analysis which focuses on trends and aggregates, the Purchase Register shows each individual order line with its full transaction details — making it ideal for auditing, reconciliation, and financial reporting. this is the main page.
Views
The Purchase Register offers two view modes you can switch between using the view toggle icons at the top of the report:
1. List
Displays all purchase order lines in a flat, row-by-row format. Each row represents a single order line and shows the following columns:

Date – The date the purchase order was created or confirmed.

Order Number – The unique purchase order number (e.g., P00008, P00009).
-
Vendor – The supplier name associated with the order line.
-
Product – The product or service purchased on that line.
-
UOM – The unit of measure for the product (e.g., Units, Can, kg).
-
Quantity – The number of units ordered on that line.
-
Price – The unit price of the product.
-
Tax – The tax amount applied to that line.
-
Amount – The total amount for that line including taxes.
The bottom row displays the grand totals for Quantity, Price (weighted), Tax, and Amount across all lines.

2. Pivot
Displays the purchase register data in a structured pivot table grouped by product and period (e.g., January 2026, February 2026). This view is useful for comparing purchase volumes and amounts across different time periods side by side.
Each row shows a product with its Price, Quantity, and Amount broken down by month, with a Total column summarizing all periods.

Measures
When in Pivot Table View, click the Measures button to select which columns are displayed. The available measures for the Purchase Register are:

Amount (Active by default) – The total amount for each line including taxes.

Base UOM QTY – The quantity expressed in the product's base unit of measure.

Billed – The quantity or amount that has been billed to date.
-
Price (Active by default) – The unit price of the product on each order line.
-
Product QTY – The product quantity as ordered.
-
Quantity (Active by default) – The number of units ordered.
-
Received – The quantity of goods received against the order line.
-
Tax – The tax amount applied to each line.
-
Count – The number of order line records included in the report.

Active measures are shown with a checkmark. Tick or untick any measure to add or remove it from the current pivot table view.
Filters
Click the Filters button to narrow down the records displayed in the report. The available filter options are:

RFQs – Show only records with a status of Request for Quotation.

Purchase Orders – Show only confirmed Purchase Orders.
-
Cancelled – Show only cancelled purchase records.
-
Fully Billed – Show only order lines that have been fully billed.
-
Fully Received – Show only order lines where goods have been fully received.
-
Add Custom Filter – Define your own filter conditions for more specific queries.

Group By
Click the Group By button to organize the report records into logical groups. The available grouping options are:

Products – Group all lines by product name.
-
Vendor – Group all lines by supplier.
-
Category – Group all lines by product category.
-
Date – Group records by order date (with sub-options for day, week, month, quarter, or year).
-
Receipt Date – Group records by the date goods were received (with sub-options for period).
-
Add Custom Group – Define your own grouping field for more specific analysis.

You can combine multiple Group By options and Filters together to create highly targeted views. For example, grouping by Vendor and filtering by Purchase Orders gives you a breakdown of confirmed purchases per supplier. Use the Export button in List View to download the report as a spreadsheet for further analysis.
