Reordering Rules

Reordering Rules help automate replenishment by defining when to reorder and how much to buy for each product. You can set a minimum quantity, maximum quantity, and reorder multiple. When stock drops below the minimum, MAQSU creates a replenishment request to bring stock back toward the maximum level.

To access this feature, go to Inventory ‣ Products ‣ Reordering Rules.

Let's create and process a reordering rule by following the steps below:


Step 1 — Create

Click Create on the Reordering Rules page to open a new form.


Step 2 — Basic information

Fill in the following fields:

  1. Reference - Auto-generated identifier for the reordering rule.
  2. Product Name - Product covered by this rule.
  3. Warehouse - Warehouse where the stock is managed.
  4. Location - Storage location inside the warehouse.
  5. Min Quantity - Minimum on-hand quantity that triggers replenishment.
  6. Max Quantity - Target quantity to replenish up to.
  7. Quantity Multiple - Quantity increment used when generating replenishment (for example, order in packs of 5).
  8. Lead Time - Total time required to purchase and receive the product (configured in the Purchase tab).
    • Days to Purchase- Supplier lead time after placing the purchase order.
    • Days to Get Products- Additional internal processing time before products are ready for use or sale

Step 3 — Save

After entering all required values, click Save to activate monitoring for this rule.

📌 Note

Verify that Min Quantity is lower than Max Quantity and that lead-time values are realistic for your supplier.


Step 4 — Run scheduler

Click Run the scheduler to trigger reordering immediately instead of waiting for the automatic schedule. The system evaluates active reordering rules and creates draft purchase orders for eligible products.


Step 5 — Review RFQ and confirm

Open Purchases ‣ Requests for Quotation to review generated draft RFQs. Click Confirm to proceed with procurement.

📌 Important Note

Reordering rules require periodic review. Update quantities and lead-time values based on demand trends, supplier performance, and seasonality to maintain optimal stock levels.
