Adjustments

A Adjustments is a feature used to correct inventory quantities in the system to match the actual physical stock. In MAQSU, stock adjustments are essential for maintaining accurate inventory records by reconciling system quantities with physical counts, recording found or lost inventory, and correcting data entry errors.

📌 Important Note

Stock adjustments directly impact your inventory values and financial records. They should be used carefully and only when there is a verified discrepancy between system records and physical reality. All adjustments should be documented with clear reasons for audit and control purposes.

Inventory Adjustments

This section will guide you through the process of how to make adjustments to your inventory using the Inventory Adjustments feature in MAQSU.

To make an adjustment, let's follow the steps below:


Step 1 — Navigation

Navigate to Inventory ‣ Operations ‣ Inventory Adjustments from the top navigation menu.

Once you navigate to Inventory Adjustments, you will see the master list of all existing inventory adjustment records. The list displays the following columns:

Step 2 — Create

Click the Create button at the top-left of the Inventory Adjustments list page to open a new blank adjustment form.

Step 3 — Fill Out the Form

The new inventory adjustment form will open in Draft status with a default name of Inventory. The form includes several important configuration options:

1. Inventory Reference – The name or reference for this adjustment.e.,g: (Q1 2026 Physical Count, Cycle Count - Section A, "Correction - Damaged Goods)

2. Locations (Required) â€“ Select which warehouse location(s) to adjust inventory for. You can select multiple locations if you're conducting adjustments across different areas.

3. Products (Optional) – Click the dropdown to select specific products then filter which products to include in the adjustment. Click Search More... to browse additional products.
📌 Tip

If you're conducting a full physical count, leave the Products field empty to include all items. If you're only adjusting specific products (spot check or correction), select only those products to reduce the list size.

4. Accounting Date (Optional) – Select the date when this adjustment should be recorded in accounting
5. Inventory Date *(Required)* – Select the date and time when the physical count was conducted.

6. On Hand Quantity – Which quantities are shown in the "On Hand" column

  • Current Date (default) – Shows the current system quantity as of now
  • Based on Inventory Date – Shows the system quantity as of the specified Inventory Date
7. Counted Quantities - Determines the default values in the "Counted" column:
  • Default to stock on hand (default) – Pre-fills counted quantities with current system quantities
  • Default to zero – Leaves counted quantities blank or at zero, requiring manual entry
📌 Important

Setting Counted Quantities to Default to stock on hand is useful for cycle counts where most items match and you only need to correct discrepancies. Setting it to "Default to zero" is better for full physical counts where you want to enter all counted quantities manually to ensure accuracy.


Step 4 — Start Inventory

After configuring the locations, products, and options, click the Start Inventory button to generate the adjustment lines. This will:

  • Populate the Lines tab with all products in the selected locations
  • Show current system quantities in the "On Hand" column
  • Prepare the "Counted" column for physical count entry
  • Change the status from Draft to In Progress

Alternatively, you can click Start Scan to use barcode scanning to add products to the adjustment. This is useful for mobile barcode counting workflows.


Step 5 — Review the Lines Tab

After starting the inventory, switch to the Lines tab to see all products that need to be counted. The Lines tab displays a table with the following columns:

Step 6 — Enter Counted Quantities

For each product line, enter the actual physical quantity you counted in the warehouse in the Counted column.

📌 Important

Enter only the actual counted quantity, not the difference. The system will automatically calculate the adjustment needed. For example, if the system shows 10 pieces but you counted 8, enter "8" in the Counted column. The system will calculate a difference of -2 and reduce inventory by 2 pieces.


Step 7 — Validate

Upon completing the physical count and reviewing all differences, validate the adjustment to officially apply the changes to inventory. Once validated, the status changes from In Progress to Validated, inventory quantities are updated in all locations, and stock movements are recorded in the system.

Following validation, the adjustment is complete, and your inventory records now accurately reflect your physical count.

Scrap

Scrap in inventory refers to damaged or expired products. These items should be removed from stock and sent to a scrap location.


Scrap

Scraping a product in MAQSU allows you to write off damaged or expired goods. Scraping a product involves creating a new product with the Is a Scrap Product? fcheckbox enabled. This will automatically set the product as a scrap product. Let's follow the steps below:


Step 1 — Navigation

To scrap a product, you need to navigate to the Scrap menu available under the Inventory menu. A new window will open as shown below. This is where you can scrap a product.

Step 1 — Create

To scrap a product, click the Create button at the top-left of the Scrap menu. This will open a blank Scrap Product form ready for you to fill in.

Step 1 — Choose product

In the new scrap form, select the Product to scrap, enter the Quantity, then confirm the Source Location and Scrap Location. After completing these fields, click Save and then Validate to confirm the scrap operation.

Step 1 — View Report

To verify the scrap result, go to Inventory ‣ Reporting ‣ Inventory Valuation. In the valuation list, find your product line and confirm the scrap transaction appears with a negative Quantity and Total Value (for example, -2.00 units and -$10.00), which indicates stock has been written off.

📌 Important

Scrapped quantity is removed from usable stock, so those units cannot be sold. You can still purchase the same product again, and newly purchased units can be sold normally.

Batch Scrap

Use Batch Scrap when you need to scrap multiple products (or multiple lines) at once instead of creating individual scrap records one by one. This saves time, reduces manual entry mistakes, and keeps write-off operations consistent for audits and inventory reconciliation.

In the Batch Scrap list view, click the Create button to open a new batch scrap form. This starts a new document where you can add multiple scrap lines in one entry.

In the batch scrap form, set the Source Location and Scrap Location, then add each item in the Scraps lines with its Product and Quantity. After reviewing all lines, click Save and then Validate to post all scrap entries together.

After validation, click Product Moves to review the generated stock movements for each scrapped item. Confirm each line shows movement from WH/Stock to Virtual Locations/My Company: Scrap, with the correct Quantity Done and Done status.
