Reporting

The Reporting section in the Inventory module provides a comprehensive suite of analytical tools to track stock levels, monitor product movements, and evaluate financial performance. It serves as a central hub for generating real-time data to optimize your supply chain and warehouse operations.

Proper monitoring of the inventory operations will help you to easily analyze and understand the workflow in managing the inventory. MAQSU can offer you a dedicated platform especially for generating reports for the inventory operations done in your organization with an accurate representation of data in graphical and tabular views. You can customize your reports in real-time to get meticulous reports as per your requirements. In the Reporting menu of the MAQSU Inventory module, you will be able to get the reports of Balance, Valuation, Analysis, Count, and more. Let’s take a look at each of these reporting platforms in detail.

The reporting menu offers various specialized views to help you manage your inventory effectively:

  • Stock Monitoring: Track current quantities through Inventory Balance, Inventory Valuation, and Forecasted Inventory reports.
  • Performance Analysis: Evaluate efficiency using Inventory Analysis, Product Margin, and Inventory Age metrics.
  • Operational Tracking: Audit movements with the Inventory Ledger, Product Move, and Inventory Count logs.
  • Alerts & Expiries: Stay proactive with Inventory Overstocked, Product Expiry, and Low Inventory Notify reports.

Inventory Balance

The Inventory Balance Report is a comprehensive view of all product quantities and values across your warehouse locations. In MAQSU, this report provides real-time visibility into what products you have, where they are located, their quantities, and their current inventory values. It's an essential tool for inventory management, planning, and financial reporting.

The Inventory Balance report shows the current state of your inventory as of a specific date and time. It includes all storable products with their on-hand quantities, locations, and valuations. This report is crucial for stock analysis, reordering decisions, and inventory audits.

Open Report

From the Inventory Dashboard, click on Inventory in the left sidebar. Then click on the Reporting dropdown menu at the top of the screen and select Inventory Balance from the list of available reports.

Once you navigate to the Inventory Balance report, you will see a comprehensive list of all products with inventory. The report displays the following columns:

  1. Checkbox – Select products for batch actions or export
  2. Product – The product code and name (e.g., [1AC-431-001] ACB electrical cabinet-4000A-3P (New))
  3. Location – The warehouse location where the product is stored (e.g., WH/Stock)
  4. Quantity On Hand – The current available quantity in the location
  5. UOM – The unit of measure (Pcs, m, Set, kg, etc.)
  6. Value – The total inventory value for this product at this location

The report only shows products that have inventory (quantity on hand > 0). Products with zero inventory are not displayed in the standard view. The values shown may be $0.00 if product costs have not been configured or if using a specific costing method.

Inventory at Date

One of the most powerful features of the Inventory Balance report is the ability to view inventory as it existed at any specific date and time in the past. This is useful for:

  • Historical analysis and trend reporting
  • Month-end or period-end inventory reporting
  • Reconciliation and audit purposes
  • Comparing inventory levels over time
1. Click the Inventory at Date button at the top-left of the report

2. A dialog box will appear with a date/time picker

3. Select the desired date and time (e.g., 02/03/2026 09:38:00)
4. Click Confirm to update the report

The report will refresh to show inventory quantities and values as they existed at the selected date and time. This takes into account all stock movements up to that moment.

Use Cases for Historical Inventory:

  1. View inventory at the end of last month for month-end reporting
  2. Check stock levels before a major sale or promotion
  3. Analyze inventory before and after a physical count
  4. Verify stock levels at the time of a specific transaction
  5. Generate year-end inventory reports for accounting

Filters

The Inventory Balance report includes powerful filtering capabilities to help you focus on specific subsets of inventory.

Click the Filters button to access the filter dropdown menu:

Available filter options include:

  1. Internal Locations (Currently active) – Shows only internal warehouse locations
  2. Transit Locations – Shows products in transit between locations
  3. On Hand – Shows only products with positive quantities
  4. Negative Stock – Shows products with negative quantities (potential stock issues)
  5. Positive Stock – Shows products with positive quantities (same as On Hand)
  6. Reservations – Shows reserved quantities for pending orders
  7. Add Custom Filter – Create your own custom filter criteria

You can combine multiple filters for more refined views. For example, use "Internal Locations" + "On Hand" to see only products with positive stock in your warehouses. Use the X icon on filter badges to remove individual filters.

Group By

The Group By feature offers advanced hierarchical grouping capabilities to help you analyze your inventory data from different angles.

Click the Group By button to access the grouping options and organize choose one or more fields to group the report data by. This will help you to better understand your inventory structure and identify trends, patterns, and correlations between different data points.

Available grouping options:

  1. Category – Group products by their product category
  2. Product – Group by product (then by location within each product)
  3. Location – Group by warehouse location (then by product within each location)
  4. Add Custom Group – Create your own custom grouping

Export

The Inventory Balance report can be exported in a variety of formats to facilitate further analysis, reporting, or archiving. This feature is particularly useful for creating custom reports, performing advanced data analysis, or integrating with other business systems.

To export the report, click the Export button at the top of the report. This will trigger a download of the data in the selected format.

Export Options: Export as spreadsheet (Excel/CSV format) with all visible columns, respecting current filters and groupings, for further analysis, sharing, archiving, or custom reporting.

Inventory Valuation

The Inventory Valuation Report provides a detailed view of your inventory value based on stock movements and costing methods. In MAQSU ERP, this report is essential for financial reporting, cost accounting, and understanding the true value of your inventory assets. Unlike the Inventory Balance report which shows current quantities, the Inventory Valuation report focuses on the financial value and movement history of your inventory.

The Inventory Valuation report is organized chronologically by transaction date, showing how inventory value changes over time. This report is crucial for month-end financial closing, cost analysis, and reconciling inventory values with your accounting records.

Open Report

From the Inventory Dashboard, click on Inventory in the left sidebar. Then click on the Reporting dropdown menu at the top of the screen and select Inventory Valuation from the list of available reports.

The Reporting menu includes the Inventory Valuation option among other inventory reports. This report is specifically designed for financial and accounting purposes.

Once you navigate to the Inventory Valuation report, you will see a chronological list of all inventory transactions with their associated values. The report displays the following columns:

  1. Checkbox – Select transactions for batch actions or analysis
  2. Date ↑ – The date and time of the inventory transaction (sortable)
  3. Product – The product code and name involved in the transaction
  4. Quantity – The quantity involved in the transaction
  5. UOM – The unit of measure (Pcs, m, Set, kg, etc.)
  6. Total Value – The total value of the transaction
πŸ“Œ Understanding Negative Quantities

Negative quantities in the Inventory Valuation report indicate stock decreases such as deliveries to customers, scrap, or adjustments. Positive quantities indicate stock increases from receipts, adjustments, or production. The report shows all movements chronologically, allowing you to track how inventory value changes over time.

Inventory at Date

Similar to the Inventory Balance report, the Inventory Valuation report supports historical date viewing. This allows you to see the inventory valuation as it existed at any point in the past.

1. Click the Inventory at Date button at the top-left of the report

2. A date/time picker dialog will appear

3. Select the desired date and time for the historical view

4. Click Confirm to update the report

After selecting a date, the report title updates to show:
Inventory Valuation 2026-03-02 02:46:03

This indicates you're now viewing the inventory valuation as it existed at that specific moment. The report will show all transactions up to and including that date/time.

Historical Valuation Use Cases:

  • Month-end financial reporting (e.g., selecting the last day of the month at 23:59:59)
  • Year-end inventory valuation for annual financial statements
  • Period-over-period comparison (exporting data for multiple periods)
  • Audit compliance (providing historical snapshots)
  • Variance analysis (comparing actual vs. budgeted inventory values)
  • Cost trend analysis over time

Export

Click the Export button to download the Inventory Valuation report for external analysis.

How Valuation is Calculated

The Total Value for each transaction depends on your inventory costing method:

FIFO (First In, First Out)
  • Values stock based on the cost of the oldest inventory
  • When stock is sold/used, the cost of the oldest purchase is applied
  • Remaining inventory is valued at more recent purchase prices
  • Best for products where older inventory is sold first
AVCO (Average Cost)
  • Calculates a weighted average cost of all inventory
  • Average cost is recalculated with each purchase
  • All units are valued at the current average cost
  • Best for interchangeable commodities or bulk materials
Standard Cost
  • Uses a predetermined fixed cost per unit
  • Cost doesn't change unless manually updated
  • Variances between standard and actual are tracked separately
  • Best for manufacturing with stable material costs

Zero-value transactions indicate missing cost data. For accurate financial reporting, ensure all products have proper cost information configured. Review and update product costs regularly, especially after receiving new purchases at different prices.

Inventory Analysis

The Inventory Analysis report provides a comprehensive overview of stock movements and balances for products over a specified period. Its primary purpose is to help businesses track inventory flow, manage stock levels, and ensure financial accuracy by reconciling physical quantities with system records.

Open Report

From the Inventory Dashboard, click on Inventory in the left sidebar. Then click on the Reporting dropdown menu at the top of the screen and select Inventory Analysis from the list of available reports.

Purpose of the Report

  • Track Stock Movement: It monitors how inventory changes through Purchases, Sales, and Other Operations (such as adjustments or internal transfers).
  • Balance Reconciliation: The report calculates the Ending quantity and Current Balance to show exactly how much stock remains after all transactions.
  • Trend Analysis: By filtering by Date Range, users can analyze inventory trends for specific months or quarters to aid in future purchasing decisions.
  • Audit Support: It serves as an audit trail for accounting, showing the B/F (Brought Forward) balance from previous periods alongside current activity.
  • Cost Analysis: The report displays the value of all transactions, highlighting the total cost of goods sold and the value of stock purchased.
  • Inventory Turnover: The report shows the rate at which inventory is selling and replacing, allowing for optimization of stock levels and purchasing decisions.

Inventory Count

The Inventory Count report serves as a snapshot or audit log of stock levels at a specific point in time. It provides a comprehensive overview of physical stock levels, helping businesses:

  • Verify the accuracy of system records
  • Identify discrepancies between expected and actual stock levels
  • Optimize stock levels and reduce inventory costs
  • Improve supply chain management and vendor relationships
  • Enhance financial reporting and planning with accurate data

Open Report

From the Inventory Dashboard, click on Inventory in the left sidebar. Then click on the Reporting dropdown menu at the top of the screen and select Inventory Count from the list of available reports.

  • Audit Trail: It lists specific products alongside their Location (e.g., WH/Stock) and the exact Date and time the inventory was recorded.
  • Reference: Each entry is tagged with a reference (e.g., "Inventory"), indicating it is part of a formal counting or validation process.
