Create Invoice

When you confirm a sales order, you will get an additional button on the sales window to create an invoice as marked in the screenshot below. Please follow the steps below to generate a customer invoice from sales order.

To create invoice directly from a sales order, navigate to the sales order form and click the Create Invoice button. This will generate a new invoice based on the sales order details.

In the Sales Orders list, the Sales Progress column helps you quickly track billing status. When an order shows Pending Invoice (as highlighted), it means the order is confirmed but an invoice has not been created or posted yet. Open that sales order and click Create Invoice to continue the billing process.


Now let's see how to create an invoice from an existing sales order.


Step 1 — Create Invoice

Click the Create Invoice button to generate an invoice for the
customer.

Upon clicking the Create Invoice button, a payment options modal will appear, providing you with the flexibility to select the desired payment method and finalize the transaction accordingly.

Payment Options select payment options:

  • Regular Invoice – full payment
  • Down Payment (Percentage %) – partial payment with a percentage of the total invoice amount
  • Down Payment (Fixed Amount $) – partial payment with a fixed amount of the total invoice amount

Step 2 — Post

then, click Post to validate the journal entry and update the accounting records accordingly. This step ensures that the sales transaction is properly recorded in the accounting system.

Once the invoice is posted, returning to the sales order page will display two buttons: 1 Delivery and 1 Invoice, indicating that one delivery and one invoice have been successfully processed for this sales order.

Once the invoice is posted, the next step is to Add Payment to record the actual payment made to the customer against this invoice.
