Add Payment

A Add Payment is the step in the sales process where a payment is made against an invoice after the customer has accepted it. This step is crucial as it allows you to record the payment in the accounting system and update the invoice status accordingly. It is also important to note that the Add Payment step can be used to record partial payments, which can be useful for businesses that allow their customers to pay for their orders in installments. Please follow the steps below how to add a payment.


Step 1 — Open Issued Invoice

On Sales Order, Click on button Invoice Counts

Step 2 — Add Payment

To proceed with the payment, click the Add Payment button. This will allow you to record the payment against the invoice and update the accounting records accordingly.

Step 3 — Validate

When you click the Add Payment button, a payment modal will appear, allowing you to record and track the payment against the invoice.

                      1. Select Journal: Choose where you are recording the payment from (Bank, Cash, etc.).
                      2. Doc. No (Optional): Enter a payment reference number, such as a check number or bank transfer ID. If you leave this blank, the system will automatically generate one by default.
                      3. Enter Amount: Specify the payment amount. By default, the system suggests what's due, but you can enter a partial payment.
                      4. Set Payment Date: Indicate when the payment was made to the vendor.

                      5. Add Memo (Optional): Optionally, enter a memo for your reference such as a payment comment or check number. By default, this may be populated from the reference set on the bill.

                      After the payment is validated, the invoice status will be updated to
                      Paid, indicating that the invoice has been fully settled.
